Marketing Administrative Assistant

Position Summary:
This position reports to the Marketing Manager and assists withthe implementation of the marketing activities of the bank. Mainresponsibilities includecorporate sponsorshipcoordination and scheduling, merchandising, communicating with external vendors,providing administrative support, and assisting with all eventplanning/hospitality activities.Other dutiesinclude corporate communications, maintaining digital files, tracking budgetsand expenses, and maintainingbrand standards.The Marketing Admin Assistant should be an excellent record keeper withattention to detail, a self-starter with an eye for design, and equallycomfortable in behind-the-scenes and in hospitality situations. They shouldhave the ability to prioritize, a high sense of urgency, and be willing toexceed deadline expectations.

EssentialFunctions:

  • Maintain the Sponsorship Portal, which includes processing and tracking sponsorship requests/bills, building forms and workflows, keeping historical archives, creating system reports, and scheduling calendars scheduling.
  • Must be present at corporate, client, and community events. Responsible for assisting in hosting events after business hours and the occasional weekend.
  • Purchase, receive, store, and distribute marketing merchandise and printed materials.
  • Perform clerical duties and administrative support such as scheduling, photocopying, mailing, maintaining the digital filing system, creating departmental reports, processing invoices, prepping for event hosting, etc.
  • Prepare communications, such as memos, emails, instructional documents, internal newsletters and wellness programs, social media posts, Press Releases, and any other correspondence as needed.
  • Maintain brand standards and purchase company signage, stationery, and displays.
  • System knowledge of Microsoft Office with strong Outlook and Excel skills, familiarity with Canva, Cricut Design Space, and Adobe Acrobat a plus.
  • Provide administrative and physical support to all Marketing Department personnel and other areas as assigned.
  • All other duties assigned.

WorkingConditions:

The work forthis position is conducted on-site in an office environment. Travel fortraining, meetings and events arerequired from time to time. Evening and weekend availability will be requiredoccasionally. The work during events will require some heavy lifting, standingfor extended periods at a time, and being exposed to the outdoor elements.

Experience andEducation:

Bachelor's degree or equivalent and/or minimum of 2 years ofrelevant work. Marketing, Hospitality, and Administrative experience a plus. Awide degree of organization, attention to detail, and latitude is expected.
