Document Control Professional

Grid Structures is seeking a detail-oriented and organized Document Control professional to manage all controlled documents related to engineering, detailing, and fabrication. This position plays a vital role in maintaining document accuracy, version control, and timely distribution across all departments. The ideal candidate is highly structured, comfortable working with digital file systems and MRP software, and understands the importance of precision in a fast-paced manufacturing environment.

Key responsibilities include:

  • Managing all document control processes for the business, including Issue for Detailing, Issue for Approval, and Issue for Fabrication releases.
  • Maintaining revision control and ensuring all departments are working from the most current documents.
  • Uploading, organizing, and tracking documents in the company's MRP system and file structure, ensuring accuracy and accessibility.
  • Coordinating with project management, detailing, and production teams to distribute controlled drawings and documentation.
  • Tracking and reporting weekly throughput metrics related to drawing releases, production status, and approvals.
  • Maintaining organized and auditable electronic and physical filing systems.
  • Assisting with document transfers between customers, detailers, galvanizers, and internal stakeholders as needed.
  • Supporting continuous improvement of document control procedures and workflows.

Additionally, the role includes:

  • Greeting and assisting all visitors, vendors, and truck drivers in a courteous and professional manner.
  • Maintaining visitor and driver sign-in logs and ensuring compliance with site safety requirements.
  • Performing general clerical duties including filing, copying, scanning, and data entry.
  • Maintaining organized records of invoices, shipping documents, and company correspondence.
  • Assisting with procurement of office supplies and general administrative materials.
  • Supporting management and HR by notifying them when visitors arrive.

Qualifications:

  • High school diploma or equivalent required; associate's degree or additional administrative training preferred.
  • Prior experience in a clerical, administrative, or document control position required.
  • Knowledge of construction, steel fabrication, or manufacturing environments preferred.
  • Strong computer skills, including proficiency in Microsoft Excel, Word, and file management systems.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple projects and deadlines with a high degree of accuracy.
  • Strong communication skills and a commitment to maintaining confidentiality and document integrity.

Pay: $45,000.00 - $50,000.00 per year
