NOTE: This position has the option towork remotely.Qualifications:Minimum of 1 year(s) of experience in Administrative Support Assistant OR AADegree in N/AN/AExperience required with Windows, MS Word, MS ExcelAdobeDuties:Plays a key role in keeping daily operations organized and responsive. Thisposition supports staff, manages essential office functions, and ensures smoothcommunication across the organization. Enters into the Agreement Information Management System (AIMS),AD-416/417 research projects (new, revisions, corrections, updates, and/orexpirations), post doc applications, foreign travel documents including tripreports, ARS-115s, invention disclosures. Prepares and monitors fundtransfers. 20%Enters incoming fund requests (IFR) for authorization to apply for fundsfrom outside sources. Assists RL and AO in the preparation of annual reports bymonitoring due dates and obtaining required information to complete reports.Maintains a manuscript file to document that all reviews and clearances havebeen met. Performs assigned quarterly reviews of the ARS-115 records to identifyand request missing information from the SYs in a timely manner. 20%As directed by the monitor, enters data into CATS; including travel,training, and purchase card purchases within governing authorities. Filesmonthly vehicle inspections, drivers log, and receipts provided by the FleetManager and/or assigned drivers. 20%Travel reservations are appropriately placed in the Agency travel system andinforms travelers in a timely manner on allowances and requirements. Accuratelyprepares authorizations and vouchers in CONCUR for subsequent ARS approval foroutside funds or foreign travel as needed by Area/Agency. Understands theprocess to ensure Centrally Billed Account (CBA) is appropriately used andoutside persons are in the National Finance Center (NFC) database for payment oftravel. Enters and monitors information in ATIS. 20%Utilizes the customer service portal to create ticket requests as required,uploading mandatory documents at the moment of creation.
