Corporate Travel & HR Operations Assistant

Location: Remote - United States
Schedule: Monday-Friday, 9:00 AM - 6:00 PM ET
Pay: $33/hr
3 month contract

We are seeking a detail-oriented Corporate Travel & HR Operations Assistant to support a fast-paced travel coordination team. This role plays a key part in ensuring seamless travel arrangements for employees while maintaining compliance with corporate travel policies.

The ideal candidate has experience coordinating corporate travel, strong customer service skills, and the ability to manage multiple requests in a deadline-driven environment. This position works closely with internal teams to coordinate travel logistics, assist with meeting arrangements, and support daily travel operations.
Key Responsibilities

  • Coordinate airline, hotel, and rental car reservations for employees, new hires, recruits, and relocation travel.
  • Research and secure cost-effective travel options while maintaining service quality and traveler satisfaction.
  • Ensure compliance with corporate travel policies and internal guidelines.
  • Support meeting and event logistics, including negotiating rates for meeting space, sleeping rooms, catering, and A/V services.
  • Work with group housing bureaus and vendors to coordinate lodging and event accommodations.
  • Utilize Global Distribution Systems (GDS) to process and manage travel transactions.
  • Monitor and manage online booking tool issues, escalating concerns to the Travel Manager when necessary.
  • Handle last-minute changes, cancellations, and travel adjustments with airlines and hotels.
  • Verify visa or travel documentation requirements for international travelers.
  • Maintain travel records and support queue management and email communications related to travel requests.
  • Provide exceptional customer service to employees requesting travel support.
Qualifications
  • High school diploma or equivalent; additional academic or vocational training preferred.
  • 2-5 years of experience in corporate travel coordination, travel agency operations, or administrative support.
  • Experience working with Global Distribution Systems (GDS), preferably Sabre.
  • Familiarity with online booking tools for corporate travel.
  • Strong proficiency with Microsoft Office tools, including Teams, Excel, PowerPoint, Word, OneNote, and Outlook.
  • Excellent organization, communication, and multitasking skills.
  • Ability to work both independently and collaboratively in a remote team environment.
  • Strong attention to detail and problem-solving abilities.
Preferred Skills
  • Experience negotiating vendor contracts for meetings and travel services.
  • Knowledge of corporate travel policies and compliance requirements.
  • Experience working in a call center or high-volume service environment.
