Summary:
The O.R. Scheduler/ Secretary will be a High School graduate or possess a General Education Degree (GED), Medical Experience and Medical Terminology. The primary function of this position is to provide secretarial support to the Unit Coordinator, maintain scheduling of surgical procedures, input post-operative documentation and apply appropriate patient charging. The Scheduler/Secretary is assigned specific responsibilities by the Unit Coordinator or Charge Nurse on duty. The Scheduler/Secretary may be assigned to one specific task, or may rotate assignments during their shift.

Responsibilities:
1. Communicationa. Answers phone calls appropriately using name, title, and area.b. Understands telephone function (transfers calls, conference calls, etc).c. Interacts professionally with physicians, staff, patients/families, and others.d. Understands Hill-Rom locator functions (answers calls, locates staff, communicates with staff and physicians, maintains system in regards to staff changes).e. Notifies Charge Nurse of any changes in the surgery line-up if schedule is already distributed.f. Communicates information about the surgical progress to the patient's family/significant other in the waiting room as directed. Takes and records messages and communicates to appropriate medical staff.2. Recordsa. Collects and matches all charge sheets and nurses notes. Enters peri-operative data and charges in Res-Q OR and HBOC systems.b. Prints preference cards, picklists or physicians profiles from Res-Q OR computer system as needed.c. Adds new preference cards, picklists or physicians profiles to Res-Q OR computer system as needed.d. Orders office supplies, coffee supplies and printing, as required, and picks up orders if necessary.3. Schedule:a. Schedules Operating Room and Endoscopy procedures via ResQ-OR, as called in to the department per policy and procedure.b. Schedules special needs for procedures as necessary (x-ray, equipment, personnel, other resources, etc.).c. Arranges surgical procedures in appropriate order and in appropriate rooms.d. Organizes and prepares the OR and Endoscopy schedule for the following day. Types call schedule as needed.e. Faxes daily schedule and/or on-call staff schedule throughout the hospital and to the physicians offices that have procedures scheduled for the following day.f. Obtains suspension list from Medical Records and complies with appropriate scheduling of procedures for suspended surgeons.4. Computer Skillsa. Orders labs and any test required for patients in O.R. and Endoscopy as needed. Retrieve test results from HBO system as needed.b. Enters specimens in HBO system as needed.c. Initiates the upload/download of patient information every morning.d. Understands mechanics of printer (how to refill with paper and toner).e. Understands mechanics of copy machine.5. Payrolla. Learns to compute payroll as a back-up for regular attendance staff member.6. Generala. Maintains patient confidentialityb. Complies with hospital's Legal Compliance program.c. Complies with safety in the O.R per policy.d. Complies with Dress Code per policy.e. Follows North Oaks Health System's compliance programs and all federal and state regulatory guidelines.
